Organizer Synch deleted EVERYTHING in ToodleDo!

The synching was working perfectly, I'd checked it back and forth a few times always synching manually from Outlook, then from Toodled and back.  I finally got comfortable on day 3 while working all day in Outlook to put on the 'auto-synch' every 15 minutes, running in the background.  Today at the end of the day, I logged into Toodled to create the folded printable list, and everything was GONE!  All tasks, deleted.

The Toodled site warned of this, but alas I went forward anyway.  I will disconnect and then reconnect to see if that replicates the data back, but this is not good.

Also -- Organizer and the project planner is SOOOO slow.  Anything you might suggest to speed performance on my laptop?  Right now, every task save takes almost a full minute of waiting, and initial set up of 15 folders/projects took almost 2 hours!  It feels like my productivity has slowed substantially, even though this might be the path to productivity improvement.

Appreciate any thoughts.

Turn off 'Include all task folders in profile'

We ran into issues with the option that includes tasks in alternate task folders (other than the default task folder).  Using Project Explorer's Tools - Options, Projects tab - turning off the 'Include all task folders in profile' stopped connection time-outs with the Exchange server and the ToodleDo sync routine more predictably kept tasks up to date between Outlook and ToodleDo.

It also sped up Kate's response time due to the consistent time-outs.

Deleted Items Folder

I am saddened and disheartened - if this happens, you can restore your tasks from Outlook's Deleted Items folder.  This has happened once before - and it is related to the sync routine losing connection with the Outlook store (related to the 1:1 Outlook connector that they use to enable an Exchange service).

I would recommend that you send me an error report and I can look at your logs to see what happened.

Regarding the slowness comment.  In version 3.1.1004 I put in some performance enhancements.  This is how it works, if the Project Explorer (PE) is open and a task is changed, the PE will refresh its view which can slow down Outlook.  Same goes for the Organizer pane, I recommend leaving up the Workflow bar chart (it refreshes very quickly) and make sure you have version 3.1.1004 or later because it moved the Organizer Pane list view refresh into a background thread.

One other thought regarding performance - sometimes Outlook's datastore, due to usage, can slow down.  I recommend clearing your cache every once in awhile.

Hi Chris;Thanks for your response.  I've been trying to figure this out and have come up with some very interesting findings...

  • there is nothing in my Outlook deleted folder to restore (except for things I actively chose to delete and want to keep deleted) - because in fact the tasks haven't been deleted from outlook - they have all been deleted from ToodleDo, but not outlook.
  • when looking via the Tasks view in Outlook I can see all the tasks, and they all have their appropriate categories on them - the @focus and/or the project names are all there for each task
  • when looking via the Organizer pane in Outlook - the stats all show up as 0.0, no tasks (even when displaying 'all', and the tasks pane below the stats is empty, even when 'all tasks' is checked.
  • when looking via the Project Explorer - the projects are there, but have no tasks linked (appointments are still linked to each project, but no tasks); the @focuses are all there, but have no tasks ... HOWEVER, the status-named focuses ALL have tasks!??  That is - in your explorer, if I select the master task list under Focus (or the in progress, deferred, etc values) - all my tasks are linked to those values, show up in those lists, and also in the mind-map views -- but those SAME tasks do not show up in either the Project lists or the @focus lists.

Therefore -- it looks like all the tasks got "detached" from their Projects (or focuses) from a Ceptara point of view? and thus, Ceptara then deleted everything from ToodleDo. ??  And even when I disconnect the synch between the two systems, and then reconnect and resynch, I get the following:

Yet, I have approx 80 non-completed tasks available / in my Outlook task list (45 with no dates but all with categories, @focuses and/or tag values) that could be synchronized but are not recognized to be existing / linked to projects or @focuses any more.  ? very curious indeed. So - good news, nothing yet completely lost.  Bad news - not 'seen' by Organizer, and not synching to ToodleDo - even if I try to disconnect, reconnect and resynch / copy all to ToodleDo.

  • Here's my system info:  Microsoft Windows 7 Enterprise v6.1.7600; Outlook / MS Office Professional Plus 2010, v14.0.4760.1000 (32 bit), and I'm on a Dell Latitude XT2 with 3 gig of RAM and 62 Gig free on the hard drive.

Hi Chris;I just want to say thank you again for the quick response and the follow-up phone call(s) to discuss and troubleshoot what happened.  I'm happy to report (both to you AND the forum readers) that the problem is fixed, no to-do's were lost, and ToodleDo is now completely back up to date.  Additionally the configuration changes you asked me to make fixed the performance problems too - so now Organizer and the Project Explorer are now speedy fast.  SUCH a relief.  Thank you so much for getting right on this and figuring it out with me.Forum readers should know - here's what we did to solve the problem.

  1. Went to Ceptara Tools / Options to bring up the Organizer Options menu (configuration manager)
  2. Went to the Server Tab and clicked the button to manage the ToodleDo synchronization settings
  3. Once the ToodleDo synchronization management screen was launched, on the Connection tab, we released the connection from ToodleDo.
  4. Applying the change and closing ToodleDo manager, we went back to the Organizer Options screen
  5. On the Project tab of the Organizer Options window, at the bottom under "All Tasks" - we UNCHECKED (turned off) the box (option) for "Include all task folders in the profile"
  6. Hit OK to save the changes (which closes the Options screen ...)
  7. Went back in - Re-launched the Organizer Options box, then on the Server tab, relaunched the ToodleDo synch manager - then on the Connections tab, reconnected to ToodleDo, and re-synched.
  8. Went to the configuration tab of ToodleDo's manager - clicked "enable auto-synching" (auto-updating?) so that I didn't have to keep manually synching.

All tasks were restored to ToodleDo -- and for the last 36 hours have stayed that way - everything is back in synch.From then on also, back in Outlook, the Organizer Project Explorer performance (including updating project properties, adding new projects, etc) was on lightning, fiber-optic speed.Seems like we've fixed it.  Thanks so much Chris!! Kate
